What is the cancellation and refund policy for exhibit spaces, sponsorships, and attendee passes?

Exhibit Spaces & Sponsorships

If an Exhibitor desires to cancel their Exhibitor Contract and therefore their exhibit space, the Exhibitor may only do so by giving written notice to Melissa Sklenar, with evidence of receipt by the Event. If the cancellation is received by September 16, 2026, then Exhibitor will remain liable for 50% of the total exhibit fee. Otherwise, the Exhibitor will remain liable for 100% of the total fees.

Sponsors will remain liable for 100% of all fees paid or payable in respect of sponsorships, regardless of when their Contract is executed or canceled by Sponsor.

Attendee Passes, and Tour and Workshop Tickets

Cancellation Protection Insurance
We recognize that unforeseen medical emergencies or travel interruptions may arise and prevent attendance at the Event and are pleased to offer Cancellation Protection Insurance to help protect your financial investment. All other cancellations are non-refundable.

NOTE: Cancellation Protection Insurance is for Attendee Passes, and Tour and Workshop Tickets Only. This insurance is NOT provided for, or applicable to, Exhibit Spaces and Sponsorships.

Cancelling With Cancellation Protection Insurance
Cancellation Protection Insurance may be purchased for $100 at the time of registration only. This insurance provides a full refund of Event registration fees, minus the $100 Protection Insurance premium, if the registrant is unable to attend due to a covered medical event or travel interruption.

Cancellation Protection Insurance applies only to Event registration fees for Attendee Passes, Tours, and Workshop Tickets. It does not cover other expenses such as travel, lodging, or meals. To request a cancellation, registrants must submit a written request to jparmley@masstimberconference.com by the last day of the event along with supporting documentation (doctor’s note, travel delay confirmation, etc.) to verify the covered reason. Requests received after the last day of the event will not be considered.

Without Cancellation Protection Insurance
Canceling Without Cancellation Protection Insurance is nonrefundable.

Substitutions

Substitutions may be permitted at our sole discretion for registrants from the same company if the original badge has not been used. Substitution requests must be submitted in writing to imtc2027@jade.mcievents.com by the original registrant at least 30 days before the Event.

Hotels

Hotel reservations must be cancelled by the official cancellation date of your reservation, or you will be responsible for any hotel cancellation fees as specified in your reservation.

Liability

The Event is not responsible or liable for any costs incurred due to cancellations or delays of any type including travel and/or weather that may affect purchased events, including education sessions, workshops, or special events. For a complete waiver of liability, see the Event Policies

Virtual

If the Event converts to a virtual-only format and you decline to attend, you will receive credit toward a future International Mass Timber Conference valid for one year.

Chargebacks

Note that any charges for Registration items on your credit card may be labeled "Trifecta Collective." Chargebacks on any purchased passes will result in a recoup of costs. No exceptions.
